Staffing Coordinator


Responsibilities:
Assist Staffing Manager with various tasks, including, but not limited to the following:
Organize and categorize employee files
Assign seating for new hires and freelance hires and maintain up to date floor plan for Digitas Health floors
Update Staffing Forecast sheets and train new Delivery employees to use the sheets
o Pull sheets into pivot analysis
o Send reminders to Delivery about populating the sheets
o Create new sheets when necessary
Greet and Onboard freelancers starting with Digitas Health
o Fill out freelance paperwork and send to the proper resources
o Onboard freelancers to timesheet system and troubleshoot with them
o Send email announcements to group
o Notify Managers of start dates and ensure managers and freelancers are set up on first day
o Collect freelance timesheets and review for any errors
Review billability reports each week and modify report for various Health groups for Staffing Manager to send out
Review Missing Timesheet report weekly and remind/track down employees with missing timesheets
Manage and coordinate meetings with internal transfer/rotation candidates
Assign transfer ambassadors with hiring manager and greet and onboard transfer and rotation candidates
Create and maintain Digitas Health phone list on a monthly basis
Maintain Digitas Health Org Charts with input from Staffing Manager
Plan DH NY events with the other administrative assistants
Support HR Director when needed
Coordinate with HRIS and Recruiting group to keep full time and freelance employees active/termed- up to date
Update Employee Manager list on a quarterly basis

Job Experience:
Internships preferred

Education:
Associate or BA/BS Degree preferred.

Organized and able to handle multiple tasks in a fast-paced environment
Demonstrated strong task management skills
